Responsibilities:

Job Summary: 

Provides administrative support for Executive Director/Administrator and Director of Operations. Manages/prioritizes calendars, prepares/organizes documents and presentations, and coordinates with executive staff to accomplish tasks and meet deadlines.  Initiates action to prepare and handle necessary items.  Coordinates and follows up on administrative activities and/or special projects.  Position has access to and regularly works with information of confidential and strategic nature.

 

Job Responsibilities:

 

  1. Develops and maintains strong working relationships with all levels of hospital staff, physicians, and external contacts. 

 

  1. Interfaces with staff as required to ensure communications to and from the Executive Director and Director of Operations are transmitted and received promptly and appropriately.  Handles details of a confidential and strategic nature.

 

  1. Manages and prioritizes calendars of Executive Director and Director of Operations.  Schedules meetings as requested by Executive Director and other leadership staff.

 

  1. Screens and directs Executive Director's and Director of Operations' incoming phone calls and mail.   Prioritizes messages and organizes related activities as needed. 

 

  1. Composes and/or prepares correspondence as requested by Executive Director and leadership staff.

 

  1. Distributes/posts various calendars and call schedules.

 

  1. Distributes parking permits and meal tickets.

 

  1. Handles patient satisfaction materials as required.

 

  1. Works in conjunction with other hospital departments to resolve complaints.

 

  1. Prepares, organizes and distributes documents for meetings and presentations.  Takes minutes as necessary. 

 

  1. Coordinates with Executive Director's direct reports (leadership staff) to accomplish tasks, including reports and spreadsheets. 

 

  1. Schedules conference rooms at the facility.

 

  1. Handles timekeeping (Kronos) duties for select group of employees.

 

  1. Processes departmental invoices, including VISA account and payment to physicians.

 

  1. Coordinates continuing education and travel arrangements for Executive Director and hospital leadership.

 

  1. Facilitates House Physician program for Downtown Decatur.  Duties include, but are not limited to:  works with Coordinator and Medical Staff Services, processes initial applications, supports the on-site orientation, coordinates house physician bi-annual evaluations, reappointments, and any other details concerning the House Physician Team.

 

  1. Maintains and supports the Human Resources files for the LTAC division of Downtown Decatur.

 

  1. Manages and maintains filing systems, both paper and electronic.

 

  1. Orders departmental supplies as needed and maintains office equipment.

 

  1. Works with employee relations, celebrations and reward/recognition activities.

 

  1. Performs other duties as assigned to meet the goals and objectives of DeKalb Medical at Downtown Decatur.

 

 

 

Minimum Education, Experience and Licensure Required:

  • College degree preferred.
  • Professional experience working in a healthcare institution, law office, financial institution, consulting organization. 
  • Expert knowledge of Microsoft Excel, Word and PowerPoint.
  • Knowledge and ability to maintain and prepare data and reports.
